Posted by Dan Ryan on Jun 9, 2017 1:00:00 PM

We spend a lot of time on this blog talking about Visitor Management.

In fact, as of the publishing date of this post, Visitor Management was the most-covered topic on the blog

We've covered questions to ask, problems to solve, enhancements made and more, all in an effort to help people better understand this complicated topic.

However, it occurred to us recently that there are some Visitor Management basics that we had failed to cover, namely terms and concepts that are second-nature to Visitor Management experts but may as well be a foreign language to newcomers.

In the interest of helping current and potential customers be better educated, we've curated a series of terms that we think anyone exploring a Visitor Management system should know.

Consider this a Visitor Management dictionary, offering a simple, straightforward explanation of terms, concepts and ideas that you'll encounter as you search for a system.

How to Choose the Perfect Visitor Badges for Your Site

Posted by Dan Ryan on Feb 15, 2017 2:00:00 PM

Visitor badges are one of the most popular forms of Visitor Management, up there in the Visitor Hall of Fame next to the plain ol' sign-in sheet and the "ALL GUESTS MUST SIGN IN" placard.

Organizations of all kinds have been using visitor badges for decades, from classic "Hi! My name is..." badges to today's innovative expiring badges

It's not hard to see why visitor badges are so popular: they're easy to use, they're affordable and they get the job done, distinguishing between employees and guests to help increase security.

However, what's not immediately clear to organizations looking to purchase visitor badges for the first time is what kind of visitor badges to choose.

In fact, many organizations have no idea there are dozens of options out there when it comes to visitor badges.

"Options?" they think. "I don't know, just one of those sticky name things, I guess."

It's hard to blame people who aren't familiar with visitor badges for being unaware, as not everyone is as obsessed with visitor badges as we are at IDenticard.

4 Ways to Make Visits Better For Your Guests

Posted by Dan Ryan on Dec 20, 2016 10:30:00 AM

As a business, you spend a lot of time thinking about guests as part of your office visitor policy.

All kinds of guests! Important guests, annoying guests, "I swear I'm not selling anything" guests, corporate guests, unwanted guests...name the guest type, and chances are it has crossed your mind at some point.

However, most of the time an organization spends thinking about guests involves what to do with a guest once he or she arrives on-site:

  • Management wants to know who's going to be escorting the guest around the office.
  • Security wants to know how long the guest will be staying.
  • Your employees want to know if this guest is important enough for an office lunch to be provided.

To be fair, the lines of thinking above make a lot of sense. After all, you're the host organization; you're worried about hosting.

But to get the most out of your visits, you need to think about things from your guest's point of view.

By putting yourself in the shoes of your guests, you're able to address their needs, identify their pain points and improve your processes to a point where all of the anxiety of a visit is taken away.

Better processes lead to better visits

3 Guest Problems That Can Be Solved By a Visitor Management System

Posted by Dan Ryan on Nov 22, 2016 4:00:00 PM

Every workplace wants to provide an optimal experience for each of its guests.

Whether you work at a small office that's hosting someone from corporate for the day or you're part of a large firm welcoming big shots from a potential client, creating that ideal guest experience is key to a successful visit

It's important, though, to be realistic: people are busy.

Many organizations don't even have the luxury of having a staffed front desk, let alone having a dedicated, concierge-esque staff member whose job is to ensure a smooth visit for every guest.

For most organizations, this is where Visitor Management comes into play: it's a tool that can be used to ensure that every visitor to your facility has a great experience.

But for a number of reasons, organizations brush off the idea of Visitor Management. Common excuses include:

  • "Our building is already safe."
  • "We don't have enough guests."
  • "Ah, we just don't need it."

The irony, of course, is that many of the organizations making these excuses suffer from the very problems a good Visitor Management system can solve.

5 Signs Your Current Visitor Management Program Needs Help

Posted by Dan Ryan on Oct 20, 2016 9:00:00 AM

With Visitor Management, it's easy to talk about the good stuff.

When your system prevents an unwanted guest from gaining access to your site or a guest compliments the strong first impression he or she got from your sign-in process, it's fun to soak in the praise.

You take a step back, pat yourself on the back and think, "I am great."

And you are! There's nothing wrong with celebrating Visitor Management successes and basking in the glory of keeping your site and its personnel safe and secure.

However, there's also the other side of the coin.

Yes, the bad.

No one likes to discuss their failures, let alone celebrate them. But with Visitor Management, some failures are telltale signs that your Visitor Management installation isn't working properly, and needs to be looked at again.

Don't worry!

These failures aren't things that you need to dwell on or mope about. Instead, identifying these weaknesses can be looked at as a good thing: by finding issues and rectifying them, you'll ensure that your site remains secure.

You can't fix your problems without identifying them first

Visitor Management!

We talk about it a lot, and you know it's important.

You want it. You need it. You gotta have it!

But how do you go about finding the system that's right for you?

Truthfully, there's no simple answer to that question: choosing a Visitor Management system is one of the more difficult ID/security-related purchases an organization can make because each system is unique to the site at which it's installed.

Basically, there's no "one size fits all" solution when it comes to Visitor Management. And because there are a ton of different options to choose from, finding the right one can be tricky.

However, there are several key questions you can ask that will help you zero in on the perfect Visitor Management system for your needs.

Asking yourself certain questions about what you need from a system and about how certain aspects of your site operate will eliminate some options while elevating others to the top of the pile.

The result? The perfect Visitor Management system for you.

When it comes to choosing a system, you've got all the answers

4 Ways a Visitor Management Program Helps Increase Workplace Safety

Posted by Dan Ryan on Aug 26, 2016 3:45:00 PM

Think about a standard Visitor Management system.

What's the main goal any system should strive to achieve?

"Well, that's obvious," you think. "It should be able to tell you who is coming and who is going from your premises at all times."

Hey, you've been reading our website!

Sounds simple enough, right?

However, if you dig a little deeper, there's a larger root cause behind every Visitor Management system.

After all, most organizations aren't just a bunch of nosy people who want to know the names of strangers coming by.

No, the overarching goal of Visitor Management is to increase workplace safety for all on-site personnel, including both staff and guests.

And if you stop and think about it, it makes a lot of sense: Visitor Management systems try to identify threats, prevent unauthorized access and record any incidents, three key components to keeping a work site safe and incident-free.

However, today's Visitor Management systems go far beyond simply recording a name when it comes to keeping your workplace safe from violence.
